Overview

The "Email Templates" feature in our Sales Engagement package is designed to streamline the email drafting process for sales advisors. By utilizing pre-designed templates, advisors can save time and ensure consistency in their communications. These templates can be stored either within Riva or integrated with Salesforce Lightning Templates, making them easily accessible and shareable across your organization.

Creating Email Templates

You can create email templates directly from either Riva Insight or the Riva Portal.

Riva Portal

  1. Navigate to Templates.
  2. Click on Create Email Template in the top right corner.

 

Riva Insight

  1. Navigate to the Actions tab.
  2. Click View Email Template.
  3. Click + Email Template.

In either case, you will go through the same process to create an email template:

Our text editor offers a range of features to help you create effective and personalized email templates:

  1. Rich Text Support: Utilize standard text formatting tools such as bold, italics, alignment, inserting images, colors, and more.
  2. Booking Links: Insert booking links created using Riva Bookings by clicking on the calendar icon on the right side.
  3. Merge Fields: Personalize your emails by using merge fields, which replace placeholders with the client's personal information (e.g., first name, last name). Merge fields will automatically populate with client data when templates are inserted into an Outlook email body from Riva Insight or when emails are sent using Email Bursts or Cadences.
  4. HTML Template: If you have HTML templates, make your emails more engaging by pasting the HTML after toggling "Switch to Raw HTML View". Note: As Outlook cannot handle <style> tags, please ensure you use inline CSS styling.

Inserting Email Templates

You have two options for inserting email templates into your Outlook email body.

Riva Portal

  1. In the Email Templates feature, click on Copy Template.
  2. Paste the copied template into your email body.

Riva Insight

  1. Navigate to the Actions tab.
  2. Depending on your current view, click on either View Email Template (email read view) or Apply Email Template (compose view).
  3. Select the desired email template from the list.
  4. Click Insert Template.

Sharing Email Templates

Riva enables licensed users to share email templates across the organization, ensuring consistency and collaboration.

Sharing Templates in Riva Portal

  1. Click on the Share button.

  2. Add the licensed users with whom you wish to share the template.

  3. Set the appropriate permissions:

    1. Viewer: Can use and view the template but cannot update its contents.
    2. Editor: Can use, view, and update the template's contents.

 

Accessing Shared Templates

Once templates have been shared, they will appear under the "Shared with me" tab in both Riva Portal and Riva Insight.

Utilizing Salesforce Lightening Templates

Riva Insight integrates directly with Salesforce Lightning Templates, allowing Riva users to leverage templates created by marketing teams in Salesforce. This integration respects the folder structure and permissioning rules set in Salesforce, ensuring seamless and organized access to email templates.

Please note that some configuration by the admin is required to ensure folder structure works properly.
