List Builder: Setting Up and Creating Salesforce Recipient Lists in Email Burst

Overview

List Builder helps you find matching contacts from Salesforce for an Email Burst by describing the audience you need in plain language. Instead of building queries, applying filters, or managing Salesforce list views, you can ask Riva AI to generate matching recipients from your organization’s connected Salesforce data.

Before you begin, make sure Salesforce is connected for your organization and that you have access to the Salesforce contacts you want to find.

Enable List Builder for your organization (Admin)

Before users can use List Builder, an administrator must enable it for the organization.

  1. Go to Settings > Admin Settings > Connections.
  2. Under Other Apps, expand Salesforce.
  3. Turn on the List Builder toggle.

Enable List Builder for your account (Each user)

After an administrator enables List Builder for the organization, each user must enable it for their own account.

  1. Go to Settings > My Settings > Integrations.
  2. Under Other Apps, expand Salesforce.
  3. Turn on the List Builder toggle.
  4. Select Save Changes.

Create an Email Burst recipient list with List Builder

From composing an email in Outlook:

  1. In Riva Insight, open the Actions tab. 
  2. Select Create Email Burst

  3. At the bottom of the Create Email Burst pane, select Add Recipients > List Builder.

  4. In the chat, describe the recipients you need in plain language. For example:

    • “Contacts at United Oil & Cast Operation”
    • "Contacts from USA"
    • “Leads with title VP”

    Tip: If you’re unsure what to ask, enter What can you do? to see examples of the types of recipients List Builder can help you find.

  5. Choose one of the following:

    • Select Add Detected Recipients to add all matching recipients to the Email Burst.
    • Select Review list to view and select specific matching Salesforce recipients.

  6. If you select Review list, you’ll be prompted to select the contacts you want to add. Select the contacts, then select Retrieve Selected Recipients.

  7. After you add recipients, List Builder displays a confirmation message showing how many recipients were added to your list. You can enter another request to find and add more contacts, or close List Builder when you’re finished. 

    Note: If you open List Builder again later using Add Recipients > List Builder, a new List Builder window does not affect the recipients already added to the Email Burst.

  8. The selected people appear on the Email Burst Added Recipients tab, add more recipients if needed, then select Send when you’re ready.
