Add Follow-up to an Email Burst

Turn Email Burst engagement into your next action. From a sent Email Burst, create a follow-up email or Salesforce task for recipients who replied, opened, or received your original message. You can tailor the follow-up to the right audience, keep email conversations in the existing thread or start a new one, and track engagement or task progress from the follow-up’s Analytics.

Create an Email Burst Follow-up

  1. Open the sent Email Burst for which you want to create a follow-up. 
  2. In the Riva Insight panel, select Actions > View Email Bursts > Add Follow-up.

  3. Choose one of the following options:
    • Follow-up Email – Creates a new Email Burst follow-up.
    • Salesforce Task – Creates a Salesforce task follow-up.

Send a Follow-up Email

  1. Select Add Follow-Up > Follow-up Email.

  2. A new email window will appear. Open Riva Insight, then under Actions, select Create Email Burst.

  3. When Create Email Burst opens, the Subject field is automatically populated with the subject of the original Email Burst.

  4. Choose the recipients for the follow-up from the recipient selection list, such as who Replied, Opened email, or All who received an email burst.

    Riva automatically adds the matching recipients. You can remove recipients from the follow-up, but you cannot add new recipients.

    Note: Recipient conditions are evaluated when you create the follow-up. For example, if you select who Replied, Riva adds recipients who had replied at that time. If the follow-up is scheduled, replies or other engagement that occurs before the scheduled send time does not update the recipient list.

  5. Choose whether to send the follow-up immediately or schedule it for a later time.

  6. By default, the follow-up uses the original Email Burst subject so it can continue in the same email thread. Select Send in a new email thread if you want to begin a separate conversation.

    Note: Changing the subject also sends the follow-up as a new email thread, even if Send in a new email thread is not selected.

  7. Enter your follow-up message and any additional details, then select Send.

  8. The follow-up appears in the Email Burst list.

  9. To review its engagement, select the follow-up Email Burst, then select Analytics. You can view Emails Sent, Replies, Clicks, Opens, Bounces, and the recipient list for that follow-up.

Create a Salesforce Task Follow-up

Before you begin: Make sure Salesforce integration is enabled in Riva Bookings.

  1. Open the email for which you want to create a follow-up task. 
  2. In the Riva Insight panel, select Actions > View Email Bursts.

  3. Select Add Follow-up > Salesforce Task.

  4. Choose the recipient group for the follow-up, then complete the Salesforce task details.

  5. Select Create Task when you are ready. Once the task is created, you will be redirected to the Sent tab, where the new follow-up task appears.

View and Manage Salesforce Task Follow-ups

After you create a Salesforce task follow-up, select the follow-up from the Sent tab and open Analytics to view its task status.

  • A newly created task may initially display as Pending. Select Refresh to update the status to Not Started.

  • To complete a task, open it in Salesforce and select Mark Complete

    After you mark the task complete in Salesforce, return to the follow-up’s Analytics tab. The task status should display as Completed.

  • If the follow-up includes multiple recipients, Riva creates a separate Salesforce task for each recipient.
  • You can remove a recipient from the task follow-up in Analytics. Removing a recipient also deletes that recipient’s associated Salesforce task.
