Google Calendar Sync: Requiring Specific Event Color

Riva supports syncing Google default calendar events to the CRM based on the Google event colour.

When the following configuration is in effect, the only Google events that are synced are those with the designated colour.

Notes:

  • The colours defined here are the Google defaults from your web browser. This does not consider other device colours that may not match, such as on mobile devices.
  • This option applies only if the goal is to use the Google default calendar — not a separate calendar.

 

To sync Google default calendar events to the CRM based on the Google event colour:

  1. In the Riva Manager application, on the menu bar, select Policies.

  2. Right-click the policy, and select Disable.

  3. Double-click the policy to edit it.

  4. On the Re-Initialize or Sync Start Time page, select all users and a Full re-initialization for All modules, but do NOT save the policy.

    Result: The hard-set options are unlocked and available for editing.

    Note: In sync policies created in Riva 2.4.46 or higher, the Re-Initialize page replaces the Sync Start Time page.

  5. On the Calendar page, do the following:

    1. For the Google event colour that indicates which events to sync, select the corresponding policy colour, as per the following mapping table.

    2. Clear the Choose Package check box.

    • If the attendees are synced to the body of the calendar item, modify the key like this:

      Sync.Ex.CalendarMode = DefaultWithRequiredCategoryAndAttendeesInBody

    • If the attendees are synced to the guest list, modify the key like this:

      Sync.Ex.CalendarMode = DefaultWithRequiredCategoryAndAttendeesInHeader

      On the Advanced Options page, modify the value of the key Sync.Ex.CalendarMode:

  6. On the Re-Initialize or Sync Start Time page, select all users and select a None re-initialization for All modules.

    Results:

    • The hard-set options are locked again.
    • The None re-initialization cancels the Full re-initialization selected at step 4.
       
  7. Save the policy.

  8. Edit the policy, and confirm that the Choose Package option has the following value: DefaultWithRequiredCategoryAndAttendeesInBody or DefaultWithRequiredCategoryAndAttendeesInHeader, depending on the value set at step 6.

  9. Enable the policy.

    Result: The Google events on the default calendar are synced when they are associated with the specific event colour that you mapped to a policy colour.

Example

The following policy has the policy category color selected as Dark Red, which is mapped to the matching color in Google Events: Tomato.

The event will sync only if the color Tomato is applied to that event on the Google default calendar.
