This is a list of common questions compiled about Riva for Salesforce data synchronization.

Can we associate appointments in Outlook with a single contact?

Answer:  Yes.

Will appointment notes be synced with Salesforce in the contact's activity history?

Question: If we make notes in an appointment in Outlook and associate that appointment with a contact in Salesforce, will the notes be synced with Salesforce so we can read them in that contact’s activity history

Answer: Yes. You can archive the notes in the contact's activity history.

Answer: Yes. Riva will sync a single email with multiple contacts. Based on the SmartConvert options, if the contacts and accounts do not already exist in Salesforce, Riva will automatically create them.

Can we set up contacts to sync with Outlook based on a profile in Salesforce?

Question: Can we set up contacts to sync with Outlook based on a profile in Salesforce? The video on your website shows only the ability to sync based on ownership of the contact or “security” which is all the contacts a user can see. The problem I think we might have is that we only have two users, at least one of whom has to be an administrator, in which case they will see all the contacts if we sync based on “Security.” I would like to allow both users to be administrators in Salesforce but create profiles that allow each user to designate which of their shared contacts they see in Outlook. (My caveat here is that I am not familiar with this functionality in Salesforce because we have not upgraded yet. The basic question is how do I let my users decide who they see in Outlook when they have access to all contacts in Salesforce?)

Answer: Riva allows you to filter by security, visibility, ownership, and historical data filtering. An advanced feature called Organic contact filtering can be implemented to allow you to identify the maximum number of most current contacts to sync based on there being a relationship between you and the contact in Salesforce (appointment, archived email, the contact being associated with an opportunity you own, etc.).

Can one user sync tasks owned by other users?

Question: Can one user sync tasks owned by other users? In an ideal world, each of our users would see the other’s tasks so that they know what each other is up to. However, because they have shared contacts, it would need to be clear who owned each task when they saw it in Outlook.

Answer: No. Tasks are user-specific.

Does Riva change the way contacts, calendar items, and tasks sync between Exchange and iPhones?

Question: Does Riva change the way contacts, calendar items, and tasks sync between Exchange and iPhones? I assume not but I want to confirm since this is working.

Answer: Riva does what you would expect it would. Because Riva's sync is server-side, any contact that is synced to Exchange from Salesforce is available on your iPad. Riva syncs Salesforce contacts, calendar, and tasks to Exchange which syncs to the native address book mail and calendar apps on the iPhone.
