What is the Attendee List?
How do end users use the Attendee List?

 

To enable the Attendee List:

  1. Configure the Riva Cloud or Riva On-Premise CRM connection.
  2. Configure Riva Insight.
  3. Optional: Configure Salesforce.

Note: For troubleshooting purposes, disabling the Attendee List requires only one action in Riva Insight.

Step 1: Configure the CRM Connection to Support the Attendee List

Note: The Attendee List is currently supported only for Salesforce.

Step 2: Configure Riva Insight to Support the Attendee List

Implementation for Riva Insight On-Premise (Requires Riva On-Premise 3.0.61 or higher):

  • Your company's Riva Insight systems administrator is required for this.

    1. Open an xml editor or an ASCII code-based text editor like Notepad.

    2. Edit this file in the Riva Insight install folder: \insight\App_Data\Config\OnPremise\InsightConfiguration.xml

    3. Enter this line of code:

      <add key="Insight.DisplayAddons.Appointment" value="MeetingAttendees" />

    4. Save the file.

Optional: Step 3: Configure Salesforce to support the Attendee List

See what the Attendee List can look like on a Salesforce event.

For the Attendee List to appear on a Salesforce Event, a Salesforce administrator is required for some configuration.

Optional: Disabling the Attendee List in Riva Insight

Your company's Riva Insight systems administrator is required for this.

  1. Open an xml editor or an ASCII code-based text editor like Notepad.

  2. Edit this file in the Riva Insight install folder: \insight\App_Data\Config\OnPremise\InsightConfiguration.xml

  3. Remove MeetingAttendees from this line of code:

    <add key="Insight.DisplayAddons.Appointment" value="MeetingAttendees" />

  4. Save the file.

 

 

What Attendee List Does

In Riva Insight:

  • If the Attendee List has been enabled, then when you select an appointment in Outlook or an upcoming or recent event in Riva Insight, the Insight panel displays the list of attendees and their statuses as found in the CRM. The attendees are presented on two tabs: External and Internal.

  • On the composite screen shot, a red border encloses the External tab as displayed by Riva Insight, The breakouts show both tabs, and the legend in the upper right corner defines the status icons for the organizer and attendees.

Minimum Version requirements

  • Riva Insight 2020.3.
    • Outlook Windows add-in 2020.3, if you use that add-in.
  • Riva On-Premise 3.0.61.
  • Riva Cloud has been automatically updated for you.
What is the Attendee List?
How admins enable the Attendee List.

 

Audience: End users who sync meetings between Outlook and Salesforce, who use Riva Insight, and whose Riva admin enabled the Attendee List functionality.
 

Riva Insight provides a few ways to view a meeting's Attendee List.
 

To view a meeting's synced attendees and their invitation status:

  • In your Outlook calendar, select a synced meeting.

    or

  • In Riva Insight, select an account, expand its Upcoming Events or Recent Events folder, and select an event;

    or

  • In Riva Insight, select a contact, expand its Upcoming Events or Recent Events folder, and select an event.

    Result:

    • Riva Insight displays the meeting with the list of synced attendees and their invitation status, along with other information from the CRM, depending on how Riva Insight has been configured.

    • The attendees are on either one of two tabs: External or Internal.

    • Tip: To view the Internal tab, you would click Internal.
