Audience: Riva administrators.
If a user's primary email address changes, the Riva sync policy needs to be updated. Before the policy is updated, Riva does not sync that user. This article describes the correct method to rename a user in a sync policy to resume data sync for that user.
WARNING: If a user's primary email address changes do not remove the user from a sync policy and re-add the user with the new user name (email address).
- In versions earlier than 2.4.39.24181, Riva would treat the re-added user as a new user and perform a first-time sync, thus creating duplicate records for all previously synced items in the user's mailbox address book, calendar, task list, and email folders.
- In Riva 2.4.39.24181 or higher, the sync for the user would be prevented and this error would be issued: [Cycle] Synchronization failed due to Crm ID conflict. ID 'xxxxxxxxxxxxx' already registered for another user 'xxxxxxxxx'. ref: xxxxxxxxxx.
If a user's primary email address changes, always rename the user by following one of these procedures:
- (Riva 2.4.36 or higher.) Rename users one by one.
- (Riva 2.4.48.51302 or higher.) Rename users in bulk.
Note for versions 2.4.36 through 2.4.47: To rename more than ten users, contact the Riva Success Team to request a support call to bulk rename the users.
Rename Users One by One
- Applies to Riva 2.4.36 or higher for supported email systems except GroupWise when accessed via a legacy connection.

To rename users one by one:

In the Riva Manager application, on the menu bar, select Policies. Disable the sync policy applicable to the user or users that you want to rename.

In the Riva Service Monitor application, stop the service.
The Riva service must be stopped and the sync policy must be disabled; otherwise, the following steps of this procedure do not work. -
In the Riva Manager application, in the right pane, double-click the sync policy applicable to a user that you want to rename.

In the Edit CRM Synchronization Policy window that appears, select the Re-Initialize tab.
Note: In policies created in Riva 2.4.45 or earlier, that tab is named Sync Start Time.

If you are using Riva 2.4.39 or earlier, skip this step without any problem. In Riva 2.4.40 or higher, select Load Users.

Right-click a user on the user list, and select Rename User.

In the Rename User? A window that appears, make the appropriate changes to the email address value.

Select OK.
Result: Riva validates the modified email address value through the email connection and closes the sync policy.

In the Riva Manager application, select Policies, and edit the same sync policy.

On the Re-Initialize or Sync Start Time page, confirm that the new user name (email address) is visible.

Select the General tab. In the Mailboxes list box, confirm that you can see the new user name or email address.

If the old user name is still visible, select it, and, to the right, select remove >>.

If you need to rename other users, then for every user, repeat steps 3–12.

After renaming all the users that you wanted to rename, return to the Riva Manager application. On the Policies page, enable the sync policy applicable to the users you have renamed.

In the Riva Service Monitor application, start the service.
Result: The Riva sync service modifies the user sync queue to use the new name and syncs the user.
